Detailed description

We are seeking a highly organised and detail-oriented HR Assistant to provide vital administrative support to our Human Resources department. This pivotal role ensures a seamless and professional experience for job applicants and maintains essential HR records, focusing particularly on the initial stages of the employee lifecycle.


Key Responsibilities

  • Applicant Communication & Administration:
  • Act as the principal point of contact for job applicants via email and telephone.
  • Co-ordinate the sending of application materials, including relevant forms and preliminary paperwork, to candidates.
  • Track the return and completion of application documentation, ensuring all candidate files are accurate and current.
  • Recruitment Support:
  • Assist in scheduling and arranging interviews between candidates and relevant line managers.
  • Prepare and collate all necessary materials required for interview sessions.
  • Support the administration of pre-employment checks and screenings as required.
  • Training & Onboarding Support:
  • Maintain and ensure all training schedules and records for both new starters and existing staff are kept up-to-date.
  • Co-ordinate the logistics for training courses (e.g., booking training rooms, preparing materials).
  • General HR Administration:
  • Maintain confidential staff records (both physical files and digital databases).
  • Provide assistance to the HR team with various administrative tasks and ad-hoc projects.

Essential Skills and Experience

  • Proven background in an administrative or HR support capacity is desirable.
  • Outstanding written and verbal communication skills with a professional and approachable manner.
  • High level of competence with Microsoft Office Suite (Word, Excel, Outlook).
  • Demonstrated ability to handle sensitive and confidential information with the utmost discretion.
  • Robust organisational skills and meticulous attention to detail.
