Summary

We are looking for several volunteers to help us to provide a welcoming first impression to all visitors, staff, and clients to our offices and Pantry here on M

Detailed description

Key Deliverables

·         Responsible for greeting visitors/clients and ensuring that both are signed in and made welcome

·         Informing staff that their visitor/client has arrived and following up should a client/visitor be left waiting

·         Date stamp and distribute incoming mail. Also, record any parcels or special delivery letters and ensure they are signed when received.

·         The upkeep of reception equipment and maintenance of the surrounding area.

·         To signpost walk-in clients to the correct project or external service

·         Maintain Stationery cupboard and help with placing stationery orders

·         Photocopying, printing documents, preparing for meeting rooms, and helping to bind or laminate documents when needed

·       Assisting with arranging events, both internal and external.

·       Ensuring the hospitality area is well maintained and clean.

·       Researching to support staff with information requests.

 

Experience

  • Have previous experience in reception work or customer services (A)
  • Ability to act on his/her initiative (A)
  • Dealing with enquiries in a courteous and informed manner (A)
  • Able to conduct self professionally at all times
  • Have a flexible approach to work tasks and an ability to manage several tasks and prioritise accordingly (A)
  • Awareness of & commitment to acting within areas concerning best office practices in using lighting, PCs & printers in an environmentally efficient way & recycling where possible.

 

Knowledge

  • Knowledge of anti-discriminatory working practices and the implications of both within the working environment.
  • Practical application of diversity awareness and unconscious bias in employment. (A)

 

Skills & Abilities

  • Have IT skills, including Word Excel and Outlook (A)
  • Have sound basic literacy skills and be able to demonstrate attention to detail. (A)
  • Have good organisational and communication skills, particularly around dealing with queries. (A)
  • Be willing to become a Fire Warden.
  • Ability to be a flexible and cooperative member of a team (A)
  • Ability to demonstrate knowledge and awareness of the issues faced by our client group, in particular, barriers faced by people with lived-in experience(A)
