Summary

The aim of the role is to provide Administrative Support to the Continence Specialist Services Team at Norwich Community Hospital.

Detailed description

The aim of the role is to provide Administrative Support to the Continence Specialist Services Team at Norwich Community Hospital. This will include contacting patients and reminding them of their appointment time and details, in order to reduce the number of unattended appointments within the Continence Clinic. The role will also include basic administration tasks and managing the stock cupboard. By performing these basic admin tasks, the Administration Support Volunteer will provide invaluable assistance to the team to enable them to continue delivering an outstanding service to their patients.


Volunteering for this role involves an ongoing commitment of approximately 1 - 3 hours a week on a Tuesday.


Activities undertaken by volunteers will not be used as a substitution for that of paid staff. Volunteers will not be asked to help in ways which facilitate a decrease in paid employment. The work of volunteers will always be to complement and not supplement that of paid employees of the Trust.

 

Key Responsibilities


Key responsibilities may vary from session to session and any variations will be discussed with you as needed, but they are likely to include:


1. Contacting patients via telephone from a prepared list to confirm with them details of their appointment/s, recording responses and liaising with members of your team to feedback any information gathered.

2. Monitoring and maintaining the stock of patient leaflets

3. Photocopying and printing leaflets

4. Stock checking and rotation

5. Monitoring patients in the clinic waiting areas

6. Other administrative activities as required


Registration and Training


You will need to provide two appropriate character references and complete a Standard Disclosure and Barring Service Check.

You will also need to complete our volunteer recruitment, including our Volunteers’ Induction training. This will provide you with a comprehensive introduction to Voluntary Norfolk and NCHC NHS Trust, key subjects which are relevant to all volunteering roles, and practical matters such as how to log your hours and how to claim expenses. This training will also give you an opportunity to meet other volunteers. 


Refresher training sessions will be required throughout your time as a volunteer.

As a Administration Support Volunteer you will be friendly, compassionate and enthusiastic about supporting the clinical team and the patients they support in the community.


Support


You will be supported by the Volunteer Champion within the Continence Team, who will be your main point of contact. You will also receive support from your local Volunteer Coordinator who will support you through your induction and provide ongoing support throughout your time as a volunteer. You will be invited to attend regular social gatherings for volunteers, which will give you an opportunity to meet other volunteers and learn about the work of the Trust. 


All reasonable out of pocket travel expenses will be reimbursed.
